We are looking for a capable and experienced Office Services/Facility Manager, with the project management skills to immediately take ownership of F-Secure's Helsinki HQ project and join our People Operations and Culture (PO&C) team. Our global PO&C team consist of over 50 HR & Office Services professionals in +20 countries. Worldwide we employ about 1700 employees, including around 650 at our Helsinki Headquarters.

The key focus of our PO&C organization is to create the best possible organizational, digital and physical Fellow experience for our employees. We are supporting our employees (“Fellows”), and managers with different employee lifecycle related topics.

To succeed in this role, you should have a passion for workplace development and knowledge of current workplace and office trends. You should have knowledge and experience of all aspects of premises management as we seek to transform our headquarters to ensure it meets the changing requirements of a world class, modern, global cyber security company.

We are developing an excellent global HR & Office Services offering to contribute to our Employee Value Proposition and give our Fellows an awesome place to work, so you will work as part of our global team and report to the Head of Office Services, who is also based in Helsinki.

Key Responsibilities

Office Project Manager role Includes

  • F-Secure HQ Project Lead over the next 2/3 years.
  • Workplace Development - define, develop and continuously improve our workplace solutions and the working environment, in collaboration with workplace development consultants and our HQ-based business managers for the varied functions and disciplines at our Helsinki HQ.
  • Manage landlord negotiations in collaboration with our real estate partner.
  • Plan and project manage renovation and construction projects to ensure smooth and timely execution, in collaboration with all parts of the business to ensure.
  • Project Communication, in collaboration with our Internal Communications lead, to ensure that there is an active dialogue with our Fellows and progress and updates are reported openly.

Office Services team responsibilities Include

  • Office Management, including cleaning contract, goods & services, visitor process, parking management, landlord liaison, repairs & maintenance.
  • Office Security, inc access control, key management and ISO27001 compliance.

  • Health & Safety compliance – eg Fire & Emergency, First Aid, Covid-19 response.

  • Manage the offices within a defined budget and review local invoices.

  • Develop and align Office Services processes with global practice, with other Office Services Specialists and Managers.

  • Maintain the F-Secure Brand at our HQ.

  • Coordinate real-estate issues such as renovation, moves, allocation of teams in office, and office-related services.

  • Oversee office administrative services and act as main contact point for external service providers.

What are we looking for?

We're looking for candidates with premises management, renovation and/or construction project experience and Workplace development experience in Finland, within a mid to large sized organization, ideally in an international environment. You need to take the lead, be service driven, with excellent communication and collaboration skills, with experience of project management, with the ability and vision to ensure services are delivered to our Finland employees. We are looking for someone with:
