Export Documentation team is accountable for on time and accurate project invoicing as well as preparation and coordination of export documentation to secure smooth export and import.

We are now looking for Assistant Coordinator to the Export Documentation team for permanent position.
Location for the position is Vaasa, Finland.

Responsibilities
• On time and accurate project invoicing
• Preparation, collection and coordination of export documentation as required under Commercial Sales Contract and payment instrument if any
• Providing instructions for export clearance as well as following up that the export clearance is made and finalized correctly 
• Providing advice and instructions for both internal and external stakeholders regarding the shipment documents, export and import procedures and requirements as well as documents required under letter of credit and other payment securities
• Maintaining data and archiving information as well as documentation for internal and external stakeholders about shipments, export clearances and export documentation.
• Ensuring high quality, correctness and accuracy in the responsibility areas as well as compliance towards tax and customs authorities

Requirements
• Commercial Education
• Basic understanding of foreign trade, project invoicing, shipping documents, Incoterms, export and import procedures
• Basic understanding of Wärtsilä’s project business, financial procedures and payment terms used in Wärtsilä
• Good communication, coordination and team working skills as well as ability to work independently and proactively
• Good command in English. Fluency in Finnish or Swedish. Other language skills will be an advantage
• Knowledge and experience of SAP and M-Files
• Previous work experience with tasks related to project invoicing, export documentation and export procedures is seen as an advantage
• Big picture thinking and “ready to take an extra mile” attitude 
• Strong team player with positive attitude and customer focus
