This role supports the Head of People & Culture in Finland and the UK, which are our largest locations, with all practical matters related to the employee experience. These tasks relate to managing various types of benefits and their respective providers, employment related documents, our vetting and reference process and also some payroll administration and reporting. The role is also expected to provide guidance to our employees in questions related to their employment and our processes and policies. The role will also work closely with the wider global People & Culture team and have the opportunity to take part in various global projects. Our aim is to offer an amazing employee experience in this new hybrid working environment and this role is critical in supporting the People & Culture leads as well as helping employees with employment related queries. The role will liaise with external service providers and regulatory bodies on regular basis and therefore will need to be able to communicate fluently (in writing as well as verbally) in Finnish and English.

The role will work closely with the local stakeholders and collaborate with peers in other countries and regions. The role reports to the Head of People & Culture UK with dotted line to the equivalent role in Finland. It can be based in either Helsinki or in the UK

This role will benefit from a person who is an independent self-starter who enjoys helping others and improving existing processes and ways of working. It requires a good attention to detail, organisation skills and a positive service mindset. It is helpful to have an introductory understanding of employment regulations in either country (Finland or the UK).

Key Responsibilities

  • Monthly coordination for information to be submitted on time to the payroll vendor for UK (Payroll circa 300 people)
  • Processing information for new starters, change of details, leavers and accompanying administration for payroll/HR
  • Assisting in any reporting requirements from Finance or other functions/authorities
  • Provide first line advice to employees and line managers on administrative issues connected with absence, holidays, maternity / paternity etc and on employee benefits, including enrollment and changes
  • Administration of the company HRIS system as required (Workday) and resolve WD tickets (training to be provided)

  • Respond to incoming requests for information e.g. references, proof of employment, travel letters etc.

  • Support in any relocation administration when needed globally (working closely with vendors supporting with this)

  • Support the coordination of onboarding and offboarding for employees.

  • Manage the Vetting vendor and support LMs, and employees to ensure DBS and Vetting checks are completed in a timely manner.
  • Track globally all ER cases, PIPs, termination agreements etc so we have an up to date overview globally, per country

  • Conduct exit interviews as required.

  • Provide administrative and generalist support to the People and Culture team as required, including any other reasonable duties or projects as directed

  • Occasional support in arranging local team events

What are we looking for?

  • A self starter with great relationship building skills
  • Fluent in Finnish and English because this role needs to be able to communicate both in written format and verbally with external vendors and government bodies which do not speak English in Finland
  • Ability to prioritise and coordinate many different tasks and activities
  • A positive, service minded attitude
  • Passionate about employee experience and improving how worklife ought to be

  • A base understanding of employment law and regulations ( in Finland and/or the UK)

  • Experience working with payroll and/or background checks (vetting)

  • Experience in vendor management and dealing with suppliers

  • Experience with Workday or any other HR system/tool
  • Experience in reporting and working with Finance colleagues
