Regional People Support Hubs are responsible for delivering employee lifecycle services and driving an excellent employee experience. The responsibilities include employment contracts, job offers, onboarding, HR data maintenance and helping our employees and managers in their day-to-day questions related to people matters.

The People Support Hub is part of the People Services organization – a team accountable for the delivery of our employee experience and creating a base for compliance, efficiency and scalability through inquiry, transactional and specialty services.
The People Support Hub is accountable for our standard people process delivery and inquiry resolution in an efficient, timely and accurate manner towards all Wärtsilä employees. The People Support Hub, via our MyHR People Portal, acts as first point of contact for all people related inquires towards employees and line managers, seeking to provide solutions via 1) self-service (chat-bot, access to knowledge base of policies, instructions, and guides), 2) escalation of unique queries to the relevant party in the HR organization.

The scope includes:
•    Participation in Talent Acquisition process coordination, and in creating an excellent candidate and hiring manager experience within the Europe region
•    Talent Acquisition related administration and contracting
•    Employee data maintenance and onboarding support
•    Line manager and employee inquiry management, resolution and escalation

About the Position
As a Specialist for Talent Acquisition activities in the People Support Hub, Europe, you will be working together with a virtual team of colleagues within your region, supporting the employees and managers in your responsibility area with their Talent Acquisition people matters. Together with your colleagues, you are in direct contact with our HR customers on a day to day basis, ensuring that their support needs are responded to. You will report to the Team Lead, People Support Hub, Europe. The preferred location for the position is in one of our Wärtsilä offices in Finland.

In this role, you will

  • Perform supporting activities for the Talent Acquisition Process
    • Recruitment Activities:
      • Position creation
      • Job requisition creation
      • Job posting
      • Candidate screening
      • Interview scheduling
      • Internal offer approvals
    • Onboarding activities:
      • Employment contract
      • Pre-employment screening
      • Guidance of the global onboarding process
      • Hiring action in global HR data platform and local payroll platform
  • Bring local expertise to both regional and global team
  • Support employees and managers is using the self-services and signposting them to sources of information
  • Contribute to establishing the new ways of working for the People Support Hub and identify and document needs for automating/digitizing manual and offline processes as related to Talent Acquisition support function

About You

To be successful in this role, we expect you to:

  • Previous experience supporting recruitment activities
  • Experience with HR databases and Applicant Tracking Systems (preferably SuccessFactors) is a plus
  • A proactive and customer service mindset, as you will be working with multiple people and teams
  • Systematic and organized way of working
  • Understanding and expertise on multiple country specifics on people matters within your region
  • Demonstrated and effective collaboration skills with customer orientation
  • Cultural understanding and an ability to work within a team and deliver services across different cultures
  • Support local compliance in recruitment activities; administration of reference checks/pre-employment screenings, job offers, employment contracts and changes as applicable
  • Fluent in English (required)
  • Fluent in Finnish language preferred
  • Be service-minded
  • Be a proactive and solution-oriented problem solver with excellent communication skills
  • Be proficient with modern tools and comfortable in incorporating new ones in your daily work
  • Willingness to work with routine tasks and reporting
