IT Procurement Service Solution Owner, Aalto University, Espoo

As a solution owner, you are responsible for Aalto University’s operative IT Procurement service and vendor management and budgeting related to it.

You are responsible for

• The requirement definition for workstation, phone and operator tendering
• The functionality and  development of IT devices’  ordering, delivery and lifecycle management processes and related operative daily vendor management
• Actively following the development on the IT device field and making decisions in device and equipment selections to gain the bets cost efficiency and functionality for supporting Aalto University’s core functions
• Maintenance of IT procurement instructions for Aalto IT end users and staff involved in procurement processes
• Coordinating and strengthening Aalto IT procurement network
• Creating regular reports for different stakeholders.

You are also enthusiastic in seeking new and creative ways to effectively support the University’s operation, development and decision making.

The maintenance of digital ordering processes is outsourced, so that you can focus on the big picture. You will guide vendors’ work and develop our vendor relationship management further. In addition, you cooperate with different stakeholders, such as decision makers, system owners/administrators, researchers, assistants and technical specialists.

We offer you an interesting, independent and contributing role in heart of Aalto’s digitalization. Your work will have direct impact to the Aalto University service development. Although you are independently responsible of your own area of work, we offer you support and coaching when you feel you need it. In addition, you will have plenty of learning and development opportunities and excellent training possibilities.

Our End User Support function consists of 3 teams and 33 skilled, talented and experienced professionals. Function is responsible of End User support and IT procurement as well as phone and subscription services.  Your team leader will be Liisa Länkä. Liisa is a Head of End User Support and a member of IT Management Team. Her leadership style is respect, listen and supportive.

What we are looking for:

We expect that you follow the field actively and have a good understanding of the latest trends. We also expect you to have a vision on how to develop Aalto University’s IT Order and Delivery Service further. In addition, you have a strong existing experience related to process development.

We expect you to be experienced in:

• Excellent conceptual knowledge of ordering and delivery processes and process development
• Excellent knowledge of procurement, IT devices and IT services
• Working with multiple stakeholders
• Vendor management and/or work experience from multi-sourcing environment
• Knowledge and interest in budgeting and reporting
• Project and system work

We also value your knowledge and experience in:

• IT Infrastructure and workstation maintenance systems
• LEAN process development
• Service design
• Working in development projects as a project manager

As your personal qualities:

You have excellent social and cooperation skills and you are able to communicate smoothly both with technical and business-minded co-workers and collaborators. You have an ability to influence others through your interactional skills and are able to sell your ideas to decision makers.  In order to succeed in our environment, you need to be good in accommodating the various needs of different stakeholders, be able to prioritize them and to communicate your views in diplomatic, yet confident manner.

The responsibilities of the position require excellent analytical skills and conceptual thinking and working in systematic, persistent and responsible manner.
